Executive Assistant & Office Operations

Microamp is looking for an Executive Assistant – Office Operations to support the company’s leadership in managing day-to-day operations and contributing to long-term organizational development. In this role, you will work closely with the executive team to ensure operational efficiency, structured internal processes, and effective coordination across the organization.

Key Responsibilities

Executive & Operational Support

• Managing calendars, priorities and meeting coordination for Executives

• Organising business travel and handling related logistics

• Supporting day-to-day operations and handling ad hoc executive requests

Administrative & Document Management

• Overseeing corporate documentation and contract processes (NDAs, partnership agreements, MoUs, etc.)

• Coordinating the full document lifecycle, from preparation and internal approvals to signing and archiving

• Monitoring deadlines and ensuring proper document control

• Managing administrative correspondence and maintaining organised records

• Cooperating with law firms, accounting offices and external service providers

• Supporting procurement processes and administrative aspects of projects, including publicly funded projects where applicable

HR & Office Coordination

• Supporting recruitment and onboarding processes

• Managing HR documentation, contracts, working hours and absence records

• Ensuring smooth office operations, including supplies, service coordination and vendor management

• Organising meetings and company events

• At least 3 years of relevant experience in executive support, administration or office management

• Excellent organisational and prioritisation skills

• Strong attention to detail and process ownership

• Ability to manage confidential information

• Proactive and solution-oriented mindset

• Fluency in Polish and English, both written and spoken
